Journalists Tell: What Kind of Press Release Goes Through in the Media?

Digitalization has changed the work of journalists significantly. However, press releases are still an important source of information for them. At the same time, they offer an efficient way for companies and organizations to get their message across.

In 2019, we conducted an international survey asking journalists what they pay attention to in press releases and what kind of press releases they prefer. The previous version of the survey was conducted in 2017, and in two years there were some noticeable and interesting changes in the use of press releases.

Our survey was completed by 892 journalists and media professionals in six countries: Finland, France, Germany, Hong Kong, Sweden and the United Arab Emirates. Half of the respondents have worked as a journalist for more than 16 years.

How do journalists utilize press releases?

Journalists are using press releases actively – in fact, their use has even increased in recent years.

85% of survey responders had read a press release within the last 24 hours. More than a third had utilized a press release in writing an article within 24 hours. Compared to the 2017 survey, the use of press releases has increased by eight percentage points. This shows a clear increase in journalists' activity in using press releases.

Only a small number of journalists use the press releases they receive as such. Typically the texts are slightly modified or they will be used as material to write a whole new article. Many journalists also reach out the contact persons listed in the press releases for more information.

How to make sure your press releases are read?

Busy journalists constantly receive new press releases to their mailboxes, which makes it challenging to stand out. In our survey, journalists highlighted certain factors that influence whether they read the press release or not. These were:

  • Current topic
  • Clear and understandable text
  • Engaging headline
  • Successful targeting

It’s also important to choose the right information channel for sending press releases. Most journalists favor email as a channel for receiving press releases, and only some search for them from other sources. That is why it’s important to use up-to-date email addresses and target the message correctly.

In addition, getting your press release utilized is easier when you publish hot stories immediately, choose one important news topic per press release, stick to the facts and avoid heavy advertising. It’s also very important to add contact information to the press release and ensure that the contact person can be reached for 24 hours after sending the press release.

“The contact person needs to be available for the whole press release publishing day – in the evening as well. It is beyond frustrating to try to get a hold of a contact person who doesn’t answer. Many story details or even a whole press release haven’t been published because of this on occasion. Because I also train PR people, I formulate it for them like this: the contact person eats, jogs, goes to the sauna, makes love and sleeps with their phone in hand for the next 24 hours!”

How to make your press release more appealing?

The first important step is to get a journalist interested in your press release and open it. Secondly, the content of the newsletter should be so interesting that it ends up as an article.

The publisher of a press release being well known or familiar to the journalist influences whether they read the press release or not.

Also, showing the organization’s personality in the content and breaking the patterns a bit can inspire journalists to take advantage of the press release.

When asked how much journalists utilize images from press releases, 70% answered that they use these images quite a lot or very much. 

Based on our survey, high-quality pictures and videos clearly improve the likelihood of a press release being published, as long as additional materials are easily accessible.

If the press release doesn't immediately spawn articles or interview requests, it doesn't mean that sending the press release was in vain. Active communication helps to stay in the minds of journalists and enable an interview request in the future.

“Press releases are a great channel for me to get information about what a certain company does and overall what is going on in the industry. Sometimes a press release can act as a data bank and even though I wouldn’t need it at that moment, I can return to it later. So don’t be depressed even though nothing happens immediately when you send a press release. Marketing with a press release is useless but doing PR is always useful.”
